Cold Sugar Financial OS – Privacy Policy

This Privacy Policy explains how Cold Sugar Bakehouse, LLC (“Cold Sugar,” “we,” “us,” or “our”) handles information processed through Cold Sugar Financial OS (“Financial OS”), including information obtained through our connection to QuickBooks Online.
1. About Financial OS
Cold Sugar Financial OS is a private internal financial management application used by authorized Cold Sugar personnel.
It helps us review accounting information, monitor cash flow, track expenses and financial obligations, prepare internal forecasts, and support business financial decisions.
Financial OS is not offered as a public consumer application or commercial software service.
2. Information We Process
Financial OS may process business and accounting information including:
- QuickBooks account information
- account names and account types
- transaction dates
- transaction amounts
- vendors, customers, or other transaction counterparties when provided by QuickBooks
- expense and income categories
- invoices, bills, payments, purchases, deposits, sales receipts, and related accounting records
- bank account book balances
- financial summaries and calculations derived from accounting records
- application configuration and internal financial planning information
Financial OS does not require or store a user's Intuit username or password.
3. QuickBooks Online Data
When an authorized user connects Financial OS to QuickBooks Online, Intuit provides Financial OS with authorization to access approved accounting information through Intuit's APIs.
Financial OS uses QuickBooks information solely for the benefit of the Cold Sugar business associated with that QuickBooks account.
We do not sell QuickBooks data.
We do not use QuickBooks data for advertising.
We do not combine one customer's QuickBooks information with another customer's information for profiling, benchmarking, marketing, or data-model training.
We do not provide QuickBooks information to unrelated third parties except as necessary for infrastructure used to operate and secure Financial OS.
4. OAuth Credentials and Tokens
Financial OS uses Intuit's OAuth 2.0 authorization process.
OAuth access and refresh tokens are stored securely and encrypted. Application secrets are maintained separately from application source code and are not exposed through the browser.
Financial OS does not store Intuit account passwords.
5. How We Use Information
Information processed by Financial OS may be used to:
- synchronize accounting information from QuickBooks Online
- display business financial information
- calculate cash-flow and operating metrics
- monitor expenses and account balances
- prepare internal forecasts
- support weekly and longer-term financial planning
- identify synchronization or accounting-data issues
- troubleshoot the QuickBooks integration
- maintain the security and reliability of Financial OS
6. Storage and Security
Financial OS uses reasonable technical and administrative safeguards designed to protect business information.
These safeguards include restricted application access, encrypted OAuth credentials, HTTPS connections, access controls, security headers, and protected server-side storage.
Diagnostic information may be retained to troubleshoot QuickBooks API synchronization issues. Diagnostic logs are designed not to contain OAuth access tokens, refresh tokens, authorization headers, or Intuit account passwords.
7. Service Providers
Financial OS relies on third-party technology providers to operate the application, including infrastructure and database services.
Those providers process information only as necessary to provide the infrastructure used to operate Financial OS and are not authorized by Cold Sugar to use our QuickBooks information for unrelated purposes.
8. Sharing of Information
Cold Sugar does not sell or rent information processed through Financial OS.
Information may be disclosed when necessary:
- to operate or secure Financial OS
- to authorized Cold Sugar personnel
- to troubleshoot a service or integration
- when required by applicable law, regulation, legal process, or governmental request
- to protect the rights, security, or property of Cold Sugar or others
9. Disconnecting QuickBooks
Authorized users may disconnect QuickBooks Online from Financial OS.
When QuickBooks is disconnected, Financial OS revokes or removes its saved QuickBooks authorization credentials and removes imported QuickBooks data associated with that connection from Financial OS.
Disconnecting Financial OS does not delete or modify the original accounting records stored in QuickBooks Online.
10. Data Retention and Deletion
Information is retained only for as long as reasonably necessary to operate Financial OS, support Cold Sugar's legitimate business purposes, satisfy applicable legal or accounting obligations, and maintain system security.
Imported QuickBooks information may be removed when the QuickBooks connection is disconnected or when the information is no longer required.
11. Children's Privacy
Financial OS is a business application and is not directed to children.
12. Changes to This Policy
We may update this Privacy Policy as Financial OS changes or as legal, security, or platform requirements evolve.
The effective date at the top of this page will be updated when material changes are made.

Cold Sugar Bakehouse is an Austin-based sourdough bakehouse focused on naturally fermented bread and donuts, made with simple, high-quality ingredients and a lot of intention.
We believe great food doesn’t need shortcuts, just time, care, and a respect for process. Every dough we make is naturally leavened with our house starter and fermented slowly to develop deeper flavor, better texture, and improved digestibility.
Our menu is rooted in sourdough. From our signature loaves to our sourdough donuts, bagels, cookies, and seasonal bakes, everything is made from scratch in small batches. Familiar favorites, reimagined through fermentation.
Founded by a classically trained baker, Cold Sugar blends professional technique with a grounded, handmade approach. What started as a passion has grown into a neighborhood staple, serving the Austin community through local markets and weekly drops.
You can find us at The Arboretum and Bee Cave, or through our porch pickups—where we share fresh bakes, and occasionally, hot donuts straight from the fryer.

Barry Terrell Smith
Hi, I’m Barry. Im the founder & baker behind Cold Sugar Bakehouse.
I didn’t start in a bakery. I started in the Air Force, then followed something I couldn’t ignore, a pull towards creation. That path led me to the Art Institute of Charleston, where I trained in Baking & Pastry and fell in love.
Cold Sugar started during the 2020 pandemic as a way to bring a little comfort to those around me. What began with cookies and cakes has grown into something more focused. A sourdough bakehouse built around process, patience, and simple ingredients.
Today, everything I make is naturally fermented, handcrafted, and rooted in that same intention. Bread is the foundation. Donuts are the fun. Everything else falls somewhere in between.
You’ll find me at local markets around Austin, baking early, selling out when I can, and always working to make it better than the last batch.

Christian Jr Diaz
Hi, I’m Christian. I'm Co-Owner & Operations at Cold Sugar Bakehouse.
I was born and raised in Miami, where I watched my mom work tirelessly to provide for our family. That work ethic stuck with me. It pushed me to focus on school and eventually earn degrees in Chemistry and Mathematics from the University of Central Florida.
I’ve always been drawn to numbers (I genuinely enjoy Excel), and I bring that same mindset to the business, from managing our financials and building our website to running our market booth and keeping everything organized behind the scenes.
I’m not the one baking, I leave that to the pro; but I handle the structure that keeps Cold Sugar running and growing.
Barry and I balance each other out. He brings the craft and creativity, I bring the systems and operations. Together, we’re building something that reflects both of us.
